Notice Dated: Monday 30th March 2026

Dear Members of the F&GP Committee: Cllrs J Stephenson (Chair), K Grubb, A Hawkins, K Hardy, N Hughes and N McGuiness.

You are hereby summoned to attend a meeting of the F&GP Committee which will be held on Monday, 13th April 2026 commencing immediately after the HR Committee meeting (starting at 6.00pm) at Lifespring (old Town Hall).

The business of the meeting is set out in the agenda below.

d.)  To consider recommendations to Council on any overtime hours required for the Events & Liaison Coordinator regarding Warsop Carnival and its fundraising.

RESOLVED: Cllr N McGuiness proposed that the minutes are approved, seconded by Cllr A Hawkins. The minutes were unanimously agreed and signed by the chair.

The Clerk highlighted that a review of the Asset Register had been undertaken and necessary edits and additions made to the policy. Last Financial Year’s Asset figures would need to be restated.

FG26-6 Events and Communications:

a.)  To approve booking the Road Closure provision for the Remembrance Parade 2026 (Chevron) and TTRO application to Notts CC

APPROVED – It was unanimously agreed to approve the booking of the road closure with Chevron (£1,375) and to apply for the TTRO from Nottinghamshire CC.

b.)  To approve booking the Sound/PA equipment for the Remembrance Service 2026

APPROVED – It was unanimously agreed to approve the booking of the PA/Sound equipment via Electric Bear at a cost of £891.85.

c.)  To approve booking the First Aid and security provision for the Remembrance Parade/Service 2026 (Global Asset Security)

APPROVED – It was unanimously agreed to approve the booking of the Medics and Security (Global Asset Security) at a cost of £444 (Security) and First Aid (£380).

d.)  To consider recommendations to Council on any overtime hours required for the Events & Liaison Coordinator regarding Warsop Carnival and its fundraising.

RESOLVED: After a discussion the following was agreed:

·         That the Events Coordinator is given up to 12 hours overtime for the May fundraising / Shake it off Event (travel, set up, event). This is within staffing budget.

·         That any additional hours required for Warsop Carnival 2027 is resolved at a later stage once another meeting has taken place.

·         That staff are paid overtime for any hours allocated to the Mayor’s Fund (over and above their contracted hours).

e.)  To make any required decisions regarding bookings and approval of payments on events in the next 3 months

RESOLVED:

Warsop Parish News – the following was recommended for Full Council approval:

·         That Full Council agree that a shorter 12 page (16 including Vibrant Warsop section) is produced for Summer 2026 (July)

·         That Full Council agree to a trial of the Events & Liaison Coordinator designing the paper (full control over content, editing, design, submission etc.). Additional hours could be done within the WPN design budget and potentially could save the council time and money if controlled by one person. The Events Coordinator could be given an additional 4 hours per week (on the 6-week lead up to print) to focus on this additional work.  If this is successful, it could continue for future prints – time allowance differing depending on content, number of pages etc.

It was agreed that the next F&GP Committee meeting will be held Wednesday 3rd June or Monday 8th June at 6.30pm (to be confirmed once Cllr J Stephenson has confirmed his availability).

Cllr K Grubb gave advanced apologies for the June meeting.

Meeting closed at 7.37pm.
